The most restrictive Access Level that can be applied to users is Access to specific Projects only. This only allows users to see and edit Projects that have been directly shared with them.
While restrictive, this approach offers flexibility, allowing you to grant and revoke access to individuals as and when you need. It's particularly useful if you're inviting contractors or freelancers into your account—you can assign only the Project(s) they need to work on and prevent them from accessing the rest of your library.
However, it may not be suitable for larger teams as manually managing Project-sharing may become unwieldy and difficult to scale. In this case, setting up Departments may be more beneficial.
Before you begin
- User Access Levels are managed in the User Management interface. For instructions on how to open this page, see Accessing the User Management page.
- To change user roles and user permissions, you must be an Administrator or be assigned a custom user role that has user management permissions.
Setting the Access Level
Setting the Access to specific Projects only Access Level for a user will mean that they can only access Projects that have been directly shared with them.
There are several ways to set this Access Level.
New users
When you create a new user, you will need to set an Access Level before you can send their invitation. For more information, see Adding a new user to your team.
Existing users
- Select Users from the User Management side-bar menu.
- Find the user in the list you'd like to change—use the filters and search bar to narrow down the results.
- Select the user to open the User information page.
- Choose Access to specific Projects only from the Access drop-down menu.
- Save your changes.
Next steps
In order for the user to be able to access and edit Projects, they need to have one or more Projects shared with them. For more information, see Sharing Projects with your colleagues directly.
