Limiting a user role’s ability to create releases

With Advanced User Management, you can remove the ability to create releases for users of a specific role. This helps ensure that only authorised users can export courses from the platform and prevent unintended distribution of unfinished or unplanned learning content.

When you change permissions of a User Role, that change is applied to all users who have been assigned that role—this allows for updates to be instantly applied to multiple users at once.

 

Permissions breakdown

There are two permissions relating to release creation that define which type of release a user can create:

Each permission also allows the user to access and edit the Learner Tracking tab inside a Project's Configure page.

Being able to configure these independently is useful if you need to compartmentalise user abilities or prevent creation of elearning in certain formats.

For example, if you distribute your courses via a Learning Management System (LMS), it may be necessary to remove the ability for users to create Online Link releases and only allow them to create SCORM packages.

Or if you have a dedicated learning content management team, you might grant both release permissions to users from that team and revoke them from everyone else.

 

Before you begin

To change user roles and user permissions, you must be an Administrator or be assigned a custom user role that has user management permissions.

Caution: Before changing a User Role, verify that the new permissions are suitable for all users with that role to prevent unintentionally granting or revoking access to features. See Checking the permissions included in a User Role if you're unsure how to check a User Role's permissions.

 

Restricting the ability to release courses

1. Go to Team

2. Select User Roles from the toolbar to view your account's user roles

3. Find the User Role you'd like to edit and select it to go to the permissions list

4. In the permissions list, scroll to Releases to find the two permissions relating to release creation (described above in Permissions breakdown)

a. Use the Create SCORM or API releases checkbox to configure the permission:

  • Checked: users can create SCORM and API releases
  • Unchecked: users cannot create SCORM and API releases

b. Use the Create an Online Link release checkbox to configure the permission:

  • Checked: users can create Online Link releases
  • Unchecked: users cannot create Online Link releases

5. Scroll back to the top of the list and select Save to save your changes
