A Department is a collection of related folders used to compartmentalize your colleagues’ access to the Projects in your library. Restricting a user’s access to Projects in individual Departments ensures users only have access to content that is relevant to them. It can also be a useful way to sort your Projects into more distinct categories or by internal teams.
Before you begin
If you haven’t set up any Departments yet, you’ll need to create some before you can add Projects to them. See Creating and managing Departments for more information.
Adding a Project to a Departmental folder
In order to sort a Project into a Department, it must be added to a folder that sits within that Department.
When a Project is added to a folder that sits within a certain Department, only users who are part of that Department are able to access, view and edit it. To find out how to set up a user's access so they can only view Projects in their Department, see Restricting a user’s access to Projects in one or more Departments.
| Note: Users with the Access Level All Departments and Projects can also view Projects sorted into Departments as their access supercedes Departmental restrictions. See Understanding User Roles and Access Levels for more information about how Access Levels work. |
- Open the Project Library by selecting Projects from the top toolbar.
- Find the Project you’d like to sort—use the search and filters to narrow down your results.
- Select the Folder button on the Project.
- Choose the folder within the Department you’d like to sort the Project into.
| Tip: Projects can be sorted into more than one folder—this means that they can also become visible across multiple Departments if folders from different Departments are chosen. Use this to share Projects that might be common to more than one Department. |
Viewing the folders in a Department
- Find the Department (
) you’d like to add your Project to in the Folders menu.
- Select the Department’s plus icon (
) to reveal the folder structure within.
- Make a note of the folder you’d like your Project to be sorted into.
