Understanding User Roles and Access Levels
In Author, there are two levels of management that control what a user can see and do in your organization’s account.
- User Roles determine the actions a user can carry out
- Access Levels determine the Projects a user can access
For security purposes, Elucidat Support cannot alter user permissions. If you would like your User Role or Access Level changed, contact your Account Owner or other Administrator.

This section explains how User Roles and Access Levels work in Elucidat Author.
User Roles
When you start your Elucidat subscription, you'll find a set of User Roles relating to the most common user profiles and job roles already set up for you.
You can also create new custom roles and modify existing ones if you have Advanced User Management.
Information
Advanced User Management is included in the Team and Enterprise tiers or as a paid add-on to your Growth subscription. With it, you can create new User Roles and modify existing ones for a more personalized set of roles that fit with your business structure. Contact your Account Manager or Customer Success Manager to discuss adding Advanced User Management to your subscription.
The table below describes a list and brief description of each default User Role.
The description in the table below does not describe every action that role can perform—you can see the individual permissions of each User Role in the User Management interface. See Checking the permissions included in a User Role to learn how.
| User Role | Description |
| Account Owner | The Account Owner is a user who has been identified as the main account contact. They have the same access and permissions as other Administrators. There can only be one Account Owner per organization. |
| Administrator | May access and carry out all actions in your organization’s account |
| Analytics | Can only view the Analytics information from your courses and view comments on Projects. |
| Author | Can only make changes to Projects in Author mode; cannot make Layout changes. Can make releases and edit Styles and Templates. |
| Author and analytics | Same as Author with ability to view Analytics data. |
| Developer | Same as Layout Designer with access to Elucidat’s API |
| External Collaborator | A user who does not have an Elucidat account but has been granted temporary access to Elucidat to review one or more Projects. Their permissions are limited to adding comments and editing and resolving their own comments. This User Role cannot be manually assigned and is assigned to users who have been invited to review a Project. For more information about this, see Feature Focus: External Collaborators. |
| Guided Author | A simplified Author role; Guided Authors can only create Projects, edit page content in Author, upload assets and start a Project from a Template. |
| Layout designer | Similar to Author but allowed to change the structure of your Project's pages using Layout. |
| Layout designer and analytics | Same as Layout designer with access to Analytics data. |
| Restricted Layout Designer | Similar to Layout designer but is not allowed to make edits to Styles or make account-wide changes to Page Types. |
| Restricted Reviewer | This role can perform all review actions including, @mentions, submitting review comments, seeing others comments, replying to comments and editing their own comments. Unlike, Reviewer this role cannot be edited into a custom role using Advanced User Management. Designed to be used when upgrading External Collaborators. |
| Reviewer | Can view projects in Preview and Review, add comments, and mark comments as resolved. |
| Translator | Can access the Translate mode in a Variation to use side-by-side translation; can make text edits and upload media. |
Access Levels
A user’s ability to access Projects in your library depends on their Access Level. Access Levels for Author are set at the user level. This means that a user has one Access Level that applies to all Elucidat Author Projects.
In Author, there are three levels that determine which Projects a user can access.

Access to all Departments and Projects
User has unrestricted access to all Projects in an account. -
Access to specific Departments
User only has access to Projects in selected Departments.
Access to specific Projects only
User only has access to Projects that have been directly shared with them.
