Elucidat Data Privacy


Elucidat Ltd is committed to protecting your privacy, as required by the Data Protection Acts. By using the Elucidat service, you consent to the collection and use of information by Elucidat, as outlined below.

We will not give, sell, rent or lease any personally identifiable information you choose to give us, to any other company. Unless we have your permission, or are required by law, we will only share data you provide through use of our App, or in working with us, with employees of Elucidat and/or our suppliers, where appropriate.

We may use the information you supply us to notify you changes to the Elucidat service, or to tell you about new Elucidat products and services. If you would like to opt out from receiving such information, please email us at support@elucidat.com.

You have the right to access the personal information we have registered about you and to request that this information is corrected or deleted if it is inaccurate, incomplete or irrelevant.


What data do we collect?

Elucidat collect a range of information to help us to supply as good a service as possible:

  1. Information that your Authors supply to us
    1. Authors sign up with name and email address
    2. Authors upload text, imagery and videos to the Elucidat service in order to create E-learning courses (uploaded content)
      1. These assets are stored on Elucidat servers, and not used for any purpose other than allowing you to edit your courses, and ensuring the continuity of your service
      2. We back up this data to encrypted media stored in the cloud
      3. We do not store copies of your uploaded content on any form of removable media, or in any of our office locations
      4. We do not recreate any of your uploaded content, or show your uploaded content to anyone outside of your organisation
      5. We may view your uploaded content in the course of helping you to complete work on your courses, but we will not access your uploaded content outside of that
      6. Copyright of your uploaded content is not transferred to Elucidat, but nor do we take any responsibility for copyright infringements
      7. We use Content Delivery Networks to speed the delivery of your uploaded content around the world in courses that are delivered online. This (temporarily) makes copies of your uploaded content at ‘Edge’ locations around the world.
  2. Information we derive through your use of the service
    1. We collect usage statistics about our Authors, and which courses they edit and publish
      1. We do this to tailor our services, advice and communication to the needs of the individual Author
    2. When Learners view the courses you have created, we collect a variety of data
      1. For ALL course release modes, we collect usage data, including pages accessed, answers to questions, and overall results of courses
      2. This data is anonymous, except in the following situations:
        1. Online Public course releases that use the ‘Self sign-in’ option to identify themselves using name and email address
        2. SCORM releases send a ‘learner_id’ to us. We use this learner_id to identify the learner and restore their progress
          1. This learner_id is normally a number, that cannot be used to identify the individual
          2. In some rare cases, this learner_id is sent as an email address, which means that we store the email address of the learner, alongside their course progress
      3. We also forward completely anonymous usage data to 3rd party services to assist us in providing continuity. These include, but are not limited to Google Analytics (Traffic statistics), Pingdom & New Relic (Availability monitoring)
      4. We do not use or access your learner data, except to provide general usage statistics, and to allow you access to download your own data
      5. We will never share this data, or use it for our own purposes, outside of what is detailed above


Information security

We work hard to protect Elucidat and our users from unauthorized access to or unauthorized alteration, disclosure or destruction of information we hold. In particular:

  • We encrypt all of our services using SSL
  • We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems
  • We restrict access to personal information to Elucidat employees, contractors and agents who need to know that information in order to process it for us, and who are subject to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet these obligations.

Changes

Our Privacy Policy may change from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice (including, for certain services, email notification of privacy policy changes).

Brexit statement

Elucidat will continue to be compliant with all relevant European, UK and US data protection laws. Before 31st December 2018, in line with Brexit deadlines, Elucidat will also be offering clients the choice of where they wish to store their data between the UK, US and EU. Clients can be assured their data will never leave their chosen region, and they will retain complete control, security and visibility. Our providers’ main data centres are located in London (UK), Frankfurt (EU), Dallas and Chicago (US). Our chosen data centre is currently in London (UK).


GDPR

The General Data Protection Regulation is a regulation by which the EC intend to strengthen and unify data protection for all individuals within the European Union.

On May 25th 2018, when enforcement begins, we are committed to compliance with the GDPR across our websites and app. We already work to the highest privacy and data protection standards, and are fully compliant with existing laws. We are currently working on the changes that are necessary across the business. We will be keeping all clients informed as changes are made.
