Having a management strategy in place is essential for keeping your Asset Library organised and your media consistent. Organising your Asset Library with folders can make assets easier to find and by extension, be an aid to mitigate the possibility of duplicate assets being uploaded by users who can't find the asset they want to use.
When you first access your Asset Library, it will have a couple of folders already set up.
- All folders: any new folders you create will sit within this.
- No folder: this is where your assets will automatically be organized until they have been added to a folder.
You can add as many folders as you like to your Asset Library. You can also create folder hierarchies by nesting sub folders inside an overarching parent folder, allowing you to sort related assets by their specific characteristics or intended use
Assets can be added to more than one folder which is useful if it has more than one use or if it can be used in several different contexts.
Note: Folders can be browsed by anyone with access to the Asset Library. It is not possible to restrict access to an access based on the user's Department in the same way as the Project library. However, you can restrict who can add media to your library. Adding a folder
1. Go to the Asset Library
2. Right-click All folders
3. Select Create folder
3. Give your folder a name by typing in the Folder name field
4. Select Save changes to save your new folder
Adding additional folders
Adding a new folder under All folders will create a folder at the top of the hierarchy. New folders cannot be created above All folders.
You can add additional folders by right-clicking the folder under which you'd like your new folder to sit and repeating steps 3 and 4 described above.
Managing folders
You can delete and rename existing folders in the Asset Library.
1. Find the folder you'd like to manage in the hierarchy
2. Right-click the folder you'd like to manage to reveal the action menu
Deleting a folder
1. Select Delete folder
2. Select Yes - permanently delete to confirm the deletion
Caution: All subfolders within the deleted folder will also be deleted but deleting a folder will not delete the assets inside. If an asset is also part of another folder, it will remain there. If an asset is not part of any other folder than the one deleted, then it will be moved to No folder. |
Renaming a folder
1. Select Rename folder
2. Type a new name in the Folder name field
3. Select Save changes
